Privacy Policy

Pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 ("GDPR") and Italian Legislative Decree 196/2003 ("Privacy Code"), this notice describes how personal data of users of the website ojpc.eu is processed.

2.1 Navigation data

The site's systems automatically collect technical data inherent in the use of Internet protocols (e.g. IP addresses, browser type, operating system, pages visited). This data is used solely for security purposes and anonymous aggregate statistics (legal basis: Art. 6.1.f GDPR β€” legitimate interest).

2.2 Voluntarily provided data

Account registration: first name, last name, e-mail address, password (stored as a hashed value), preferred language, theme settings. (legal basis: Art. 6.1.b GDPR β€” contract performance)

Athlete profile: display name, nationality, country of residence, gender, date of birth, e-mail. (legal basis: Art. 6.1.b GDPR)

Competition registration: data required to participate, including any shipping address for receiving the physical puzzle. (legal basis: Art. 6.1.b GDPR)

Contact form: name, e-mail, message. (legal basis: Art. 6.1.f GDPR β€” legitimate interest)

2.3 E-mail communications

Operational communications: registered participants may receive e-mails strictly related to event management (e.g. date changes, competition instructions, organisational notices). (legal basis: Art. 6.1.b GDPR β€” contract performance / Art. 6.1.f β€” legitimate interest of the organiser)

Newsletter and promotional communications: informational or promotional e-mails sent only with the user's explicit consent. (legal basis: Art. 6.1.a GDPR β€” consent) Newsletter subscription is optional and can be managed at any time from the My Account section of the portal or via the unsubscribe link included in every e-mail.

2.4 Cookie preferences and consents

Choices made in the cookie banner (accept, reject or customise) are recorded in anonymised form (partially masked IP) to document consent pursuant to Art. 7.1 GDPR. (legal basis: Art. 6.1.c GDPR β€” legal obligation)

3. Retention periods

  • Account data: for the duration of the relationship and 24 months after account deletion, unless required by law.
  • Sports results and rankings: retained indefinitely as part of competition history.
  • Access and security logs: 12 months.
  • Contact data: 24 months from receipt of the message.
  • Cookie consent logs: 24 months from the time of consent, to document its collection if required.
  • Newsletter preference: until the user withdraws consent.

4. Recipients

Data is not sold or transferred to third parties for commercial purposes. It may be shared with:

  • Technical service providers (hosting, transactional e-mail), acting as Data Processors under Art. 28 GDPR;
  • Judicial or administrative authorities as required by law.

5. Transfers outside the EU

Data is processed within the European Union. Any transfer to third countries will be carried out in compliance with Arts. 44–49 GDPR (adequacy decisions or appropriate safeguards).

6. Your rights

You may exercise the following rights by writing to info@ojpc.eu:

  • Access to your personal data (Art. 15 GDPR);
  • Rectification of inaccurate data (Art. 16 GDPR);
  • Erasure ("right to be forgotten", Art. 17 GDPR);
  • Restriction of processing (Art. 18 GDPR);
  • Data portability (Art. 20 GDPR);
  • Objection to processing (Art. 21 GDPR);
  • Withdrawal of consent (including newsletter unsubscription) at any time, without affecting the lawfulness of processing carried out before withdrawal.
